Job Description – Asst. Manager- ADMIN

Position: Admin Executive / Admin Officer

Department: Administration

Location: Jaipur

Reporting To: Admin Manager


Summary:

The Admin will oversee daily administrative operations to ensure smooth functioning of the real estate office, project sites, and support teams. The role involves facility management, documentation control, vendor coordination.



Key Responsibilities:

1. Office Administration

  • Manage day-to-day office operations and ensure office infrastructure is functioning smoothly.
  • Maintain office supplies, stationery, housekeeping, and pantry management.
  • Manage front desk activities, visitor handling, and call coordination.
  • Oversee maintenance of office equipment such as printers, phones, and computers.

2. Documentation & Record Management

  • Maintain and organize property files, legal documents, agreements, client files, NOCs, etc.
  • Ensure proper filing and easy retrieval of documents (physical and digital).

3. Vendor & Facility Management

  • Handle vendor management—AMC providers, housekeeping, security, brokers, facility staff, etc.
  • Assist in negotiation and finalization of vendor contracts.
  • Monitor service quality and manage payment processing with accounts.

4. Coordination & Support

  • Coordinate between all departments for administrative requirements.
  • Provide backend support during meetings, and events.
  • Support HR in onboarding, and administrative procedures.

  • Ensure adherence to company policies and administrative SOPs.
  • Maintain safety equipment records, insurance documents, and building maintenance logs.

7. Travel & Event Support

  • Arrange travel, accommodation, meeting schedules, and calendars for company employees/Senior Managers/Directors tours.



Required Skills & Competencies

  • Excellent communication (verbal & written).
  • Strong organizational and multitasking skills.
  • Ability to manage vendors and negotiate contracts.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Knowledge of real estate documentation is an added advantage.
  • Problem-solving attitude and ability to work under pressure.



Qualification & Experience

  • Graduate in any discipline (BBA/BA/B.Com/MBA preferred).
  • 2–5 years of administrative experience; Real Estate industry experience preferred.



Salary

  • As per industry standards / based on experience.
