Job Description

Job Summary:

The Receptionist will be the first point of contact for our company. They will manage the front desk by greeting visitors, answering phone calls, and performing various administrative duties. The ideal candidate will have a pleasant personality and be able to handle emergencies in a timely and effective manner, streamlining office operations and contributing to a positive work environment.

Key Responsibilities:

  • Greet and Welcome Visitors:
  • Warmly greet visitors and direct them to the appropriate person or office.
  • Ensure the reception area is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
  • Manage Phone Calls:
  • Answer, screen, and forward incoming phone calls.
  • Provide basic and accurate information in person and via phone/email.
  • Administrative Support:
  • Receive, sort, and distribute daily mail/deliveries.
  • Manage scheduling and appointment bookings.
  • Assist with filing, photocopying, and faxing as needed.
  • Customer Service:
  • Address customer queries and provide information about the company and services.
  • Handle complaints and escalate them to the appropriate person when necessary.
  • Security and Compliance:
  • Monitor office supplies and place orders when necessary.
  • Follow security procedures and manage entry and exit from the building.
  • Maintain confidentiality of company and customer information.

Qualifications:

  • Education:
  • High school diploma or equivalent required; additional certification in Office Management is a plus.
  • Experience:
  • Previous experience as a Receptionist or in a related field is preferred.
  • Experience with administrative and clerical procedures.
  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Customer service attitude and problem-solving skills.
  • Attributes:
  • Professional appearance and attitude.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent time management skills.

Working Conditions:

  • Office environment, with standard office hours.
  • Occasionally may need to work extended hours.
